Hi,

Running 2010 under W7 Ultimate.

I have two mail files call them A (original) and B (consolidated from a variety of backups). A worked fine and the cleanup tools worked as well. All accounts are set up to send their mail to A

I added B in control panel->mail and opened outlook. I can see and manipulate the contents in Outlook but the cleanup tools only worked for A.

Control Panel->Mail and I removed A and set B as the default (which is how I want to end up) but none of the cleanup tools work (Yes, I forgot to change the default receiving location for each account!). Specifically:

* File->info->Cleanup tools produces the list of three tools but nothing else. When you click any of the tools, all that happens is that the list of three tools disappears.

Also Manage Rules and alerts also does nothing (but access is still available by right clicking a rule and selecting Rules->Manage Rules and Alerts)

So I went into Control Panel->Mail and removed B from the list of files and set A as the default. Restarted outlook but no change.

So I rebooted and restarted Outlook. No change.

So the two questions are

1. How do I get Cleanup Tools and Mail Rules to work again

2. How do I change my default mail file to B and still have Cleanup Tools working

Its amazing how writing things down logically helps find the answer

So I

- Added file B

- Changed all the accounts to have inbox in file B as their default delivery location

- Tried to remove file A but got a message about configuration information being copied to the new default file. Can delete file after info is copied. (So this is why you cannot simply change the PST files. What a rubbish piece of design. Thanks BG!)

- Tried to archive a folder which seems to work OK.

- Shut down outlook and restarted. Got message"cannot open default e-mail folders. Outlook cannot start because a data file to send and receive messages cannot be found"

- Back to Control Panel->Mail and all the files are there (but none is marked as a default. Select B as default and restart Outlook which now starts fine.

- I try to archive and stuff happens in the status bar but the size of file B does not change. I think it is archiving A (which is still open in outlook)

- Back to control Panel->mail and remove A (no message this time)

- Open Outlook - OK. Mail file A is not open

- Mailbox cleanup starts OK

I have no idea why this is such a convoluted process or why there are no helpful error messages. Maybe these notes will shorten the pain for someone else.
