Hi All - I can't explain how much of an expert I am not when it comes to Outlook - I have recently purchased office 365 and had some issues setting up my account, probably down to being average at best with I.T matters. I had someone help me who subsequently stopped emails from being saved on the server - I wasn't alarmed as I hadn't called upon saved to server emails in the last 10 years... then the fun stuff happens. I go to look up an old email and its gone. No trace.

I have since looked for 2 others, and they to have gone. Wouldn't you know it they all date back the same sort of period, approx 1 month old or so.

I have researched online to the best of my ability to simply stop emails from being deleted automatically but i just don't understand whats being said...pop3/exchange/retention etc etc. I am not in IT industry in any way shape of form and left totally confused.

without rambling on further - Can anyone advise me how to stop emails being deleted on office 365 and, if possible, how to recall emails that are around 30/40 days old? Right now, as far as I understand, I am loosing emails daily which seems crazy!? please help!

Thanks

Are you using Office 365 with hosted Exchange or just Office 365 Office 2013 apps?

If you are using Exchange, you shouldn't use POP3 with it - use the Exchange service instead. If you are using a POP3 account and its not in your deleted items folder in Outlook or in the Deleted/Trash folder on the server, you can't recover the mail. Sorry.

In Outlook, go to File, Account Settings, what type of account are you using? Double click on the account then More Settings. Look on the Advanced tab. Are you leaving mail on the server?

Hi Diane

I started a small business a couple of months back. I am not sure of technical terms but basically I have a website and I.T support from a 3rd party. My emails run through their server i believe as they increase/decrease the amount of storage space i have in outlook. the fact my emails run through someone else's server - does this by default mean i am using exchange?

on opening my email accounts i had 10mb storage space, knowing this is pathetic I have increased to 300mb. the i.t guy at the same time as the increase logged on remotely and stopped emails from being "saved on server" i didn't think to much of it at the time.

to answer your question, i clicked on File, Account setting, - email tab, double click and account type is POP3. I continue to advanced settings and can confirm, mails are not saved to server.

if i can not recover lost emails that is something I will have to get on with, but is there a way to be sure i do not continue to lose emails further down the road with this 365 subscription I have? I have never experienced this in the past

Ok, its not Exchange - you have just the office 2013 part of office365.

I don't know what the IT guy did, but he apparently did something server side to prevent you from leaving mail on the server. Set the option in Outlook's More Settings > Advanced tab to leave mail on the server and delete when you delete in outlook. That is not going to be the full solution because of the size of your mailbox. If you are leaving mail on the server long term, you need a large mailbox.

If paying a small fee for email is an option, I recommend using the hosted email side of Office 365. It's $4 - $8/month for email, some plans include SharePoint and a small public website.

Hi Diane

office 365 was purchassed as i thought it was easier at the time - i had never experienced auto deleted emails in the past... If I revert back to an older version of outlook, say 2010...will this get rid of the automatic deleting emails?

subscribing for $8 a month is not an issue - but for someone like me who is struggling to understand these things, it would be much easier and far less of a worry if i got rid of the problem altogether. Maybe its my fault for not understanding the real purposes of 365.

would installing 2010 stop the automati deleted emails issue?

Many thanks!

I don't know if reverting to 2010 will fix it since I'm not entirely sure what the guy did. Reverting to Outlook 2010 may not change anything.

Does the leave on server setting in Outlook's More Settings, Advanced tab cause mail to stay on the server?
