I use QuickBooks although I wouldn't say that it directly ties into Office.

Do you have SP2 installed? It will allow more recipients in a DL but you may still run into problems if your SMTP limits the number of addresses per message. A mail merge would be better.

How are the calendars added to outlook? What permissions do they have on the calendars? They should not be seeing the reminders - however, outlook 2007 does show reminders from non-default folders, so how the calendar is added can make a difference.
