The New Outlook - Q's & Thoughts

So, has Microsoft determined how offline files will work and will the New Outlook have the same limitations that the Classic Outlook has for OST files (50GB) even though it isn't using OST? As Outlook has matured, along with its users, I am now seeing more and more start to hit the 50GB ceiling. Adding Online Archiving helps, but I still find myself managing mailboxes more and more as they hit the 50GB limit even with the archiving in place (and why would MS setup 100GB mailboxes in some plans when they know Outlook won't handle it). How in the heck did we manage when Outlook had the 1.98GB limit and how many times did I have to use the Inbox Repair tool! :)

Yes... and no, because offline caching (at least for now) is severely limited -

180 days max.

I'm seeing this more often too - but the solution in Outlook is either limit what gets synced or online mode (slow, but have a client who insists he must have 10 yr old mail available when he opens a folder and refuses to use cached mode with a 5 yr setting.)

Another option is to offload some mail into a shared mailbox - or do better at deleting useless junk (like ads from 30+ days ago... I recently found ads in my mailbox from 2016. :) )

LOL. I don't have stats for Microsoft 365 business but with outlook.com recently upgraded to 100GB, Microsoft said only a very small % are even close to 100Gb mailboxes. (Business accounts will be upgraded to 100Gb eventually.)

But doesn't a shared mailbox count against the total of the OST file size? I tried that setup, and it still crashed because the addition of the shared threw it back over 50GB. I also tried to override the 50GB limit with the registry edit, but it still corrupted at 50GB. Is there a better way to allow the OST to go over 50GB? This is an instance where even if I limit the mailbox sync to 1 year, it still pushes 50GB. They think Outlook is file storage and use it as such. Can't teach an old dog new tricks scenario.

it does if you are caching shared mailboxes... but you can turn it off (so its more like online archives).

Microsoft no longer recommends increasing the data file size because it is unstable. It's ok if you need to do it so you can delete and compact to get under 50Gb but it shouldn't be over 50 GB long term. (The registry edit is the only method.)

As I think I posted in a different thread, the lack of PST file support in the new Outlook is a complete dealbreaker for me.

I am adamantly opposed to having all my Outlook files live somewhere in the Cloud. My ISP has these events called "service outages."

One feature that desperately needs updating is Rules Management. I doubt it has been improved much since at least Outlook 2013. If I thought about it, I'm sure I could recall others.

Correct - rules has not been updated.... and are not available in new Outlook for windows for IMAP accounts (at least not yet... its a deal breaker for many and may be enabled later).

But... may main complaint is syncing with the Microsoft cloud. I don't want my IMAP accounts copied to the Microsoft servers.

PST support is coming - within the next year. Rules will still suck though - and probably won't be available for IMAP and pop accounts in new outlook.
