Assign Task from shared Task folder error

Using Exchange 2003 and Outlook 2007, we have created a shared Task folder in Outlook 2003 that is shared to all of our staff. The intention was to be able to create, and assign Tasks to multiple clerical staff and be able to track progress. Once the task is created and sent, we immediately get an error message back:

You do not have permission to send to this recipient. For assistance, contact your system administrator.
MSEXCH:MSExchangeIS:/DC=xxx/DC=xxxxxx/DC=xx:xxxxxxxxx

I have enabled relay for all staff through the Default SMTP server in Exchange Manager on the server. I have tried to create a Public Group Tasks folder, but when I assign the Task, it does not save it in the Public folder, but moves the task to my private task folder.

What we want to accomplish is assigning Tasks to certain Clerical staff that everyone can see and view progress of the Task. Any help is greatly appreciated. Thank You in advance

Hi,

Based on your description, I understand that you want to share a task folder to everyone and assign task to some people, am I right? May I know how did you create a shared task folder in Outlook 2003?

I would like to suggest you create a new user and shared his default task folder to everyone in your organization and then log on to the mailbox (or grant a specific user the full mailbox access permission) assign task to some people you want to. And then, check whether the issue will reproduce.

How to share task to everybody, please refer to the following steps,

1. Right-click the task and select Sharing.

2. Choose the Default in the Name box.

3. Select Reviewer in the Permission Level.

4. Click OK.

How to grant full mailbox permission, please follow the steps below,

1. Open the Active Directory Users and Computers.

2. Right-click the email account which you want to share the task, choose Properties.

3. In the Exchange Advanced tab, click the Mailbox Rights button.

4. Add the user which you want to grant the full mailbox access permission.

5. Select the Full mailbox access box.

6. Click OK two times.

And in addition, if you assign a task to more than one person at a time, you cannot keep an update copy of the task in your task list. Just as mentioned by the article below.

Thank you for the reply, I will try this. I currently have setup a task folder on the one of our Clerical Managers Outlook profile. We shared the task folder, but obviously don't want to give every user Administrator rights on her account. I will try your suggestion on creating a new user and give those who need it administrator rights. I will let you know how it goes. Thanks again.

Hi Serena,

I created a new user named " Task" . In the Active Directory I granted full mailbox permission to all the users and then

logged into the Task profile and created a shared task folder and shared it with myself and a couple of people for

testing purposes. When I use my profile and view the shared task folder, then try to send an assigned task, i get the

error message below:

Your message did not reach some or all of the intended recipients.
Subject: Task Request: test task Clerical Task
Sent: 12/14/2010 12:36 PM

The following recipient(s) cannot be reached:
xxx.xxx@xxx.xxx on 12/14/2010 12:35 PM
You do not have permission to send to this recipient. For assistance, contact your system administrator.
MSEXCH:MSExchangeIS:/DC=xxx/DC=xxxxxxxx/DC=xx:xxxxxxx

I am at a loss here. Any more help is greatly appreciated. Thank you.
