How does the sender/organizer to dictate the color of a meeting invitation.

Hey Everyone,

Looking for some assistance. See below for my question.

In Outlook 2013, How does a meeting organizer dictate the color of the meeting invitation he/she sends out? I would like for the color I designate to appear on their calendars as well. This is for a small group of people.

The goal is to not have each person receiving the meeting invitation have to manually or by creating rules change the color of the meeting invitation on their outlook calendars.

Create the same categories with colors on each computer. Then assign one of those common used categories to the invitation.

Hi Michael, thanks for your response.

I am going to test out your solution, but this is what I think you mean:

1. Let's say I choose the color purple and I assign that color as "Team Events" on my computer
2. Next, I would have each person in this small group, select the color purple and assign it as "Team Events" on their computers.

Is this correct?

Once we all assign the colors to purple/Team Events, when I or anyone within this group sends out a meeting invite and categorize that meeting invite purple/"Team Events" to anyone that made this color/category change, the meeting invite will automatically be the color purple on the outlook calendar? This will allow us to see all the different events/meetings by color within one calendar in outlook?

I will test this out with a friend.

It's correct. Technically speaking, you don't assign a color to the event but only the name "Team Events". That's the only information sent with the event to your mates. In your master category list (mcl), stored in your mailbox, you assign a color, say purple, to the category "Team Events". That's why only you see that certain color for that certain category.

On your mate's computer Outlook gets only "Team Event" from the meeting request. As it has no access to your own mcl, it looks up the user's mcl for that category. If the same category name is found, it will display the color that the user has assigned to it. Whether that's purple or not is up to the user. So have him create the same mcl that you have, then he can see what you see.
