I would like my calendar to be shared with others, but prevent one from

clicking on the appointment to see details. All they see is subject and

location.

If you have created the appointment on your calendar, right click on the appointment and select private. Users who have permission to see your calendar will only see: Private Appointment

This is not possible. You can mark them private to hide all data or remove

calendar permissions and only give them free/busy permission - it you have

exchange 2007, you can control the level of details.

We are using Outlook 2007 on Exchange 2007. I want to be able to share a

folder, add the person's folder to my calendar view but only allow them to

view that appt name - I do not want them to be able to open the appt to see

any details that may be written in the body of the appt. I dont want to have

to create a meeting with someone to see what they have on their calendar - is

there any other way to suppress the appointment detail? for example - My

boss has her calendar shared out as reviewer - with full details. The only

other option is free/busy or free/busy, time, location and subject. If I

select either of these two options it blanks out her calendar if I go to look

at it from my calendar view. The only way I know what she "really" has open

is if I start a meeting request and go to availability - I want to know if I

have any other options.

Free/busy is the only way to control how much detail people can see. On

calendars, the only way to hide appointment details is to mark them private.

Set permissions to Free/Busy time, subject, location

Set permissions to "Free/Busy time, subject, location" - this allows the person you are sharing your calendar with to see the title and location.

>Not just the blocked out time. (like they would if you set it to "Private")

>They person you are sharing with can't see the details of the meeting you have scheduled.

Additional Settings:

There are access levels from which to choose--or you can create a custom setting:

  1. None means the person or group has no access to your calendar. They also cannot see when you are available for a meeting.
    1. Contributors can see when you are busy or out of the office, but not the details of objects in your calendar. They cannot add or change calendar items.
    2. Reviewers can see calendar items that are not marked private. They cannot add or change anything in your calendar. You might consider this role for others in your office.
    3. Publishing Authors can see calendar items that are not marked private. They can add items to your calendar, but can only change the items they add. They can create subfolders.
    4. Authors can see calendar items that are not marked private. They can add items to your calendar, but can only change the items they add.
    5. Non-editing Authors can see calendar items that are not marked private. They can add items to your calendar, but cannot change any items they add.
    6. Editors can see calendar items that are not marked private. They can add or change anything in your calendar. You might consider this role for a Department Secretary if you are a Department Head.
    7. Private Appointment you can set an appointment to be private by clicking on the lock icon in the Options group. This will prevent individuals from viewing the details of your appointment.
      1. The Private icon (a padlock) will appear in the bottom right hand corner of the appointment bubble on your calendar.

Hello everyone. What I want to do is to be able to toggle hiding the details of appointments even to myself, so they show only as busy, so that I can book appointments with clients in the room without them seeing details. Is there a way to do this?

Thanks

No, not really. Are you working in the calendar or scheduling tab?

Scheduling tab: Down in the lower left is a menu for showing details - if it doesn't help, you're out of luck.

We have an issue here that for about 40% of our user population other people are seeing the details of appointments in the schedule view when creating a new meeting request in Outlook 2007. This is not the case for the other 60%. We understand that the only fix is to have each person set the free/busy only permissions. My question is WHY is this happening only to some users and what about the employees using Outlook for MAC 2011? The option to show more than Free/Busy details and subject does not exist. Has anyone seen this or have a fix for this maybe from the server side?

Thanks for any help you can provide.
