Autoresponse (with exceptions...) but even with Outlook closed

Hi!

I need to create a rule to send a "No reply" message to all emails received excepting a few sender adresses.

I need that this rule works too when my Outlook is closed (is a server rule?).

I have an Exchange account, but I have no access to the server.

How can I do it?

You need to have the account configured as an Exchange account to set it up from Outlook or use OWA to set up out-of-office.




If you don't use exchange, we recommend using 'vacation replies' configured in the account's web access to set up auto-replies.




If you don't have vacation replies feature online or use Exchange but can't access owa or open the exchange mailbox, you need to use rules and keep outlook open.

One question:

The most messages should come from addresses like office.xxxx@domain.com (every "x" is a digit).

I need to send a message to all addresses EXCEPTING two or three.

How I should set the rule for send response to office.*@domain.com addresses and not send to two or three concrete addresses?

Outlook sucks at wildcards... will the domain always be the same and will all except those 2 or 3 get the reply? If so create a rule where all mail from @domain.com gets a reply then set up an exception - except if address is office123@doamin.xom, or office234@domain.com.




ie, If you'll get mail from mary@domain.com in addition to all the office*@domain.com, this won't work since you can't easily filter out the non-office* addresses. (Unless there are very few, then you can use exceptions.)

So, if I can't do that modifying the Out of Office rule, what could I do?

My account is Outlook 2007 - IMAP - Exchange (but remember that I'm not allowed to modify Exchange server settings, etc)

You can use rules wizard -outlook needs to be left running if its a client side rule though (the rule will have (client side) after the name) - the rule would read something like

from @domain.com - reply with template except if from these three.

If there are a lot from domain.com that you don't want to send this reply to and you have their contacts (or can easily make contacts from the GAL or LDAP server) you can do an exception for addresses in an address book. This won't work if the office*@ addresses are in the gal too - you'd need to make a new contacts folder for all of the addresses. Actuially - it might be easier (if they are in contacts or a directory) to put the office*@ contacts in a separate contacts folder and use an 'in this address book' rule, pointing to that contact folder.
