Hello, I sometimes need to search in Sub-Folders of my large and complex ARCHIVE file (usually to find a misplaced email dragged there).

However, with OLK 2013, 2019, AND 2021, there is NO way I can find to get the folder name of where the found emails are actually located in the archive, and there is NO column header for FOLDER. With all the options and functionality in this very mature product, I am surprised (unless I have missed something)

Is there a way, or a macro for doing this?

You can add the In folder field to the view if it is not present - and if you need to find the folder - you can use advanced find on the found message or use a macro - more information in this article:

Many thanks for the very useful reply. I had forgotten about the Advanced Search, that will work fine for finding the occasional lost email in the Archive.

  • Start Outlook and click on the folder where you want to perform the search.
  • Use the Search bar at the top right corner of Outlook to perform your search. Enter your search query and press Enter.

@DonnaZayas Sure, that works fine for a basic search for a mail in a known folder or sub-folder, BUT - if (like me as per the original post), if you wanted to find an email that had been mis-dragged to the wrong sub-folder, in a very large ARCHIVE (500+ sub-folders), you cannot see the folder name, from a standard search view (From the TOP LEVEL of the ARCHIVE FILE), so you cannot find the folder name where it was mis-dragged to.
This is where the Advanced Search comes in to play (CTRL+SHIFT+F) from any email found from the normal search, open it and use the advanced search, as per Diane Poremsky's excellent article/tip - to get the folder name.

You can also select the email and hit ALT Enter to bring up the message properties. This box will show the message location.

Show archive folder in folder list Select this check box to have the Archive folder listed with your other working folders in the Navigation Pane. If you do not use this option, you can still open your archive folder — click the File tab, then on the Open tab, click Open Outlook Data File.

You can also select the email and hit ALT Enter to bring up the message properties. This box will show the message location.
Thanks for that tip, nice quick way to see the folder that any misplaced email is in (from the search list) - I see it in the Location - neat!

@DigitalDawn posted something in the above thread that I was refering to in my new post: my new post

I'd very much appreciate a clarification, if you actually got reminders to sync between Outlook and iCloud.

I haven't used iCloud in forever. I switched to Samsung/Outlook and haven't looked back.
