One of the email accounts in Outlook 2016 is a Microsoft 365 account. That account has been cancelled, but I'm not ready to remove it from my computer. I'm getting "enter your password" pop ups. I went through the function to define Send/Receive User Groups (I have one group) and clicked on the account. I unchecked "Include the selected account in this group", but when I do a Send/Receive, Outlook still checks the account and pops up the "enter your password" window. How do I stop Outlook 2016 from checking the Microsoft 365 email account without deleting the account?

To stop Outlook 2016 from checking your canceled Microsoft 365 account without deleting it, you can try a couple of things. First, go to File > Account Settings > Account Settings again, select your Microsoft 365 account, and click "Change." Then, set the "Offline Settings" to "Use Cached Exchange Mode" and uncheck "Use Cached Exchange Mode" if it’s checked.

Next, go back to the Send/Receive Groups settings and make sure that account is unchecked in all groups. After that, under the "Advanced" settings of your account, try disabling "Include this account in Send/Receive."

If that still doesn't work, consider temporarily disabling the account's connection by changing the account type to "Internet Email" in the settings, which should help reduce the prompts without removing the account completely. This way, you keep the data while stopping the annoying pop-ups!

First, go to File > Account Settings > Account Settings again, select your Microsoft 365 account, and click "Change." Then, set the "Offline Settings" to "Use Cached Exchange Mode" and uncheck "Use Cached Exchange Mode" if it’s checked.
That won't work if the account is defunct, but could cause him to lose the mail. Same for changing it to an internet account - and he would definitely lose mail as the account would need to be deleted (you can't change the account type on an existing account). Exchange accounts don't use send/receive settings, so you can't disable send / receive. Work offline is an option, but that affects all accounts.

Exporting to a pst then removing the account is the best option.
