Question about reinstalling Outlook 2021

Hello All,
I'm about to build a new computer system which will require me to install all my software again. It's been a while since i had to reinstall Outlook but in the past I would save the latest .pst to a flash drive and when installing Outlook ( in this case I have Office 2021 ) I would go through the install for Outlook and once it was done I would copy the saved .pst over the new one that was created in the install.

Is there a better way or does that way still work okay?

Saving the latest .pst file and replacing it after installing Outlook is still a valid way to transfer your email data from an old system to a new one. However, there are some other methods you can consider depending on your needs and preferences:

  1. Use Microsoft OneDrive or other cloud storage services to back up and restore your Outlook data. This method allows you to access your email data from multiple devices and keep it in sync.
  2. Use the built-in Import/Export feature in Outlook to export your email data as a .pst file, and then import it back to the new system. This method is useful if you want to filter out old or unwanted emails before transferring them to the new system.
  3. Use a third-party email migration tool that can automate the process of transferring your email data to the new system. This method is useful if you have a large amount of email data or if you want to migrate data from other email clients.
In any case, it's important to ensure that you have a complete backup of your email data before transferring it to a new system, in case anything goes wrong during the transfer process.
 
I've always saved the latest .pst to a flash drive and then when I install Outlook I just overwrite the new .pst with my saved one. This has worked for me for many years but since I upgraded from 2010 to 2021 I wanted to make sure nothing changed. Thanks for your reply

Actually, that's NOT a good idea... I've read accessing your .pst from ONE DRIVE / Dropbox, etc, can cause " locked .pst files" .
And due to the nature of how OneDrive / Dropbox etc works, by constantly backing up the .pst file everytime it sees a change in the file, it can cause your .pst file to become corrupted if Outlook is running!

I've always just copied the latest .pst to a USB drive and once Outlook is installed I copy the .pst over the one created by the install and that has always worked for me. My prior version was 2010, just wanted to make sure that method was still valid since I now have Outlook 2021. Thanks for your reply
 
Outlook Installation/Migration Notes:

Better to write-down (hard copy) settings for each account (in case they don't transfer from
Windows Registry). Also, REQUIRED if moving your Outlook to a new computer.

Office 2016/2021 - To get the full options for email accounts (for easy editing)
File / Account Settings / Manage Profiles / Email Accounts / select one / Change.
"Test Account Settings" should also work for each if configured properly.

On "real" send/receive accounts (as are most), the "Test Account" button WILL work.
All should be set to "Send-and-Receive" Mail Items in all account-Groups
For "names" of accounts, use the actual email address
Delivers to (example) Folders\Inbox in data file c:\Users\Vince\Outlook_Data\Folders.pst
If a new install, it is better to let it do the first time setup with the default account, and then close and switch over to real (old) .pst file.

However, don’t just rename .PST file. You should add desired-final .PST and make it the default, and THEN Remove old one.


Since two-factor authentication is turned on (for my personal Apple-ID), you must generate an app-specific-password for Outlook-2016/2021.
You enter it as the password for the Outlook email-account that iCloud for Windows sets-up for you during its install.
If you recently changed Apple-ID password, you likely have to re-create this required app-specific password (and re-enter it).
