Subscribing to another calendar when each party uses Office 365 Family

Dear Diane,

I am really confused about Calendars and how best to sync my wife’s desktop Outlook Calendar with my own. In theory it appears possible, but I am using IMAP - and Microsoft is mealy-mouthed about IMAP, so I am not sure that in reality it is possible.

An alternative would be to train my wife to use Google Calendar, to use it myself, and to sync the two. But having coaxed her over a lengthy period to use an electronic rather than a paper calendar, I am reluctant to change the ground rules…..

….so I should really welcome clear advice as to whether my wife and I, using Office 365 Family (definitely NOT School or Business), can sync our desktop Outlook Calendars (i.e. each ‘subscribing’ to the other’s calendar) - and, if so, how.

I have experimented without success - so far - with Outlook.com, and also with New Outlook. I am up for a challenge, but, at this point, extremely frustrated!

With IMAP accounts, only if you use a 3rd party sync utility. (I like gsyncit.)

If Microsoft accounts (utlook.com addresses) and the account is added to outlook, the calendar can be shared.

Gsyncit will let you sync your calendar in Outlook (named “(This computer only)" in Outlook IMAP accounts) with Gmail and other calendars - you can have it add categories so you can sync two different calendars to one Outlook folder and not get them mixed up or merged in gmail.

Thanks very much indeed: after banging my head against a succession of very solid brick walls that just occasionally felt as though they might give way, it is good to have a clear pronouncement on the issue!

Albeit a depressing one.

I think, however, that I am going to hold fire on Gsyncit pending knowing (a) when Microsoft is going to force us all to use New Outlook (and knowing what the final feature set will be); and (b) knowing if Gsyncit is going to revamp its software to cope - it seems, unsurprisingly, to be non-committal on the subject at present.

You can sync your Outlook calendars using Office 365 Family by sharing calendars rather than using IMAP. Here’s how:

  1. Share Your Calendar:
    • Open Outlook on your desktop.
    • Go to the Calendar view.
    • Right-click on your calendar and select Share > Share Calendar.
    • Enter your wife’s email address and choose the permissions (e.g., "Can view all details").
    • Click Send.
  2. Accept the Invitation:
    • Your wife will receive an email invitation. She should accept it to add your calendar to her Outlook.
  3. Repeat the Process:
    • Have your wife share her calendar with you using the same steps.
Thanks very much, Sanajoe - and yes, I TOTALLY agree with you that that OUGHT to work!

But I have 'been there - done that', and in my particular case it just doesn't happen. 'Share' gives me 'Share Calendar': but when I click on 'Shared Calendar', absolutely NOTHING happens! I think that this is because the Calendar in question is a .pst file (which it has to be because IMAP can't cope with Calendars). My research (which has been lengthy and tedious) suggests that there are circumstances where sharing 'may' not work - and I am assuming at present that this is just one of those circumstances.

However, I'd love to know if it is the case that you have a work round!

Meanwhile, I think I have found an effective work round for my particular circumstances, provided I can persuade my wife to move to Google Calendar.

I have set up each of us on Google Calendar, and imported our respective Outlook calendars.Then I have subscribed each Google calendar to the other. That works.

Moreover (and this is a bonus), if I then 'add' each Google calendar to my mobile, with Outlook for Android, I can see the combined calendars there as well, seamlessly.

You might think that that would also work on my desktop - and it does for my wife. But for reasons which are completely beyond my understanding as yet, subscribing to my own Google calendar only shows partial information. It shows one (out of many that exist) all day meeting, and two as yet unaccepted invitations to meetings sent to me by my wife. That mystifies me!

If that last oddity rings any bells with anyone, I'd welcome hearing about it!

A final thought - is there any substantive difference between the treatment of a calendar which is a sub-folder of the 'MyCalendars' folder, and one which is a sub-folder of the 'SharedCalendars' folder, I wonder?
