Outlook 2016 Can't get Outlook2016 to activate in POP3

I haven't posted here in 12 years when I received great help from Diane Poremsky - the best support guru on the planet.
At that time, I had Outlook 2003 for Gmail/POP; a couple yeara ago, Google dumped that due to "inadequate" security - forcing us to Outlook 2016 or later.

I just installed Office 2016 and want to reestablish Outlook as a Gmail client using POP3 (I do now want IMAP).
A short sumary of my obstacle is dscribed in the attached.

I have 2-factor activated In Windows but am never promped for any such secirity in the context of configuring Outlook 2016.
Maybe I need to somehow add Outlook2016 as another device in Windows to create a handshake?

Microsoft hasd done a TERRIBLE job providing clear guicance as to how to facilitate a handshake with Outlook2016 - its own product!!
The error messages (see attached) are far too cryptic.

Any help is greatly appreciaetd. I've been stumped for days.

You need 2-step verification and an app password to use pop in outlook.


You can get a new app password in your gmail account settings, at Account settings: Your browser is not supported.

Thanks Diane – getting closer. Providing this link displayed an “App passwords” dialog that let me add a password for a MS app. For Outlook2016, I entered ‘Outlook2016’ and it quickly generated the 16-character password.

N.B Diane:
In looking closer to my main Outlook2016 screen, I now see that - indeed - all 3000 emails (3 years' worth) did come down from the Gmail server !! I apoligize - I didn't see that. Strangely (to me), in Outlook2016 ther are 2 sets of areas on the left-hand side (see atached). Afraid to ask why ...

If you would kindly respond to my first bulleted item (•) above (how to access the App passwords dialog from within Gmail Settings, that woud be appreciated !!

Two Step Verification must be on. Or it will NOT show up in the Search and the Direct link will get you "The setting you are looking for is not available for your account."

This post (#6) was exactly what I was looking for!! I finally was able to get to that add App password page you provided a link to. I have since created a great guide (with annotated screen shots) for my future reference. Thank you again for helping me get up and running. 😊

At the risk of being a pest, I come back to the screen shot I posted yesterday (#5). I complained that my Gmails didn't come down because I had failed to expand everything from my email address down. The bottom half of that screen was not there untl I expanded it to reveal the emails in my inbox and that's why I didn't see them. As shown, in Outlook2016 ther are oddly 2 sets of areas on the left-hand side which never occurred with Outlook 2003 and earlier. I wonder why. 🤔 As I demonstrated, it only caused confusion.

Based on the file name, the top one is definitely a pst, created in an older version of Outlook - before Outlook created a new data file for each account and naming the data file with the email address.

The bottom one is a PST too now that I look at it again, as it doesn't have the [gmail] folder.

Ah hah … you may be onto something Diane. I have known that my pst files are stored here:

C:\Users\Owner\Documents\Outlook Files\

It always seemed a little odd to me that there would be 2 pst files. The top one (the one probably in use) is >1mb, whereas the other one is tiny. With this in mind, I’m not sure how the tiny one ever appeared. I never installed Outlook2003 on this laptop so not sure how it propagated.

In any case, I just removed the 2nd file which, upon load, removed the top part under Outlook Data File. It’s tidier now. Thanks again Diane. You're the best !! 👍👍👍
 
If there was noting in the mail folders, it might have had calendar or contacts, just based on the size. 256KB = empty. At 9000KB, wasn't much in it.
Uggghhh. Outlook2016 loads with no errors, but now I’m getting this send/receive error:

Data file can't be accessed?

Under here:
C:\Users\Owner\Documents\Outlook Files\
is only one .pst file. It’s be wrong. Do I have to go through a separate import task to use it?

After a quick Google query, I think I found the solution; For whatever reason, Outlook2016 insists that its Data File name be what was originally established: i.e., {my email address} - Tommy.pst
So I went in to the Outlook Files folder and renamed it back to what it was originally.
The send/Receive function was restored immediately !!

It turns out the best way is to change the display name is within Outlook's settings, which doesn't rename the underlying file name:
File | Account Settings | Account Settings, select the "Data Files" tab, choose the PST file you want to rename, click "Settings", and then change the "Name" field. This will change how the PST file appears in the Navigation Pane, but not the actual filename on your hard drive.

Interesting. I know changing the file name or moving a PST can affect send and receive - the fix is to change it on the email accounts tab in Account settings dialog - select the account and click Change Folder. You need to select a folder in a different data file, Apply, then go back in and select the correct one.

After a restart or two, you should be able to change the name without affecting send and recieve.
