Moving to hosted Exchange

We're looking at retiring our old Exchange 2003 server and moving to hosted Exchange 2010. I can see a potential problem with the changeover though.

I want to use locally cached mail for offline access, so Outlook will try to sync a full copy of the datastore from the server to the local PC. However some of out users have GBs of mail and it wouldn't be practical to re-download it all.

Is it possible to get Outlook to use the existing OST file instead of creating a new one, or can I copy the data over from the old OST to the new one?
 
You can't reuse the ost but you could archive it to a pst and only upload the current items the user needs to access from anywhere.

when the users are remote, its possible to create a prepopulated ost, but in your case, the server is remote so that method won't work. :(
 
Thanks for the reply Diane. What's the procedure for pre-populating an OST? Maybe the guys who host Exchange will be helpful enough to do that for us.
 
1if the host supports hybrid method of migration that will work too - users can keep their current ost file. Exchange Hybrid Deployment and Migration with Office 365

I'm not sure if this method would work for the ost the users are currently using, but its worth a shot: Providing an initial OST file for an Outlook Cached Exchange Mode deployment - Office 2003 Resource Kit - Office.com - if you can make it on a different computer and move it, one would think it will work for ost files you're using.
 
I'll enquire about the hybrid deployment, but I imagine they only have a standard method for deploying Exchange. It's worth a shot though.

I think that with the second method the fact that the accounts will be different, since they're on on different servers, might make that method fail. The way they describe it they are using the same account to create the OST and to copy it to, effectively the samer as using roaming profiles and having the OST file copied to each PC as you log on to it. I'm going to experiment with that all the same and see if it does work.

I might also try copying everything to a PST file then adding that as a datastore on the new account, then copying the files from there to the user's mailbox before connecting to the server. With any luck the emails will be recognised and not overwritten with the server copies.
 
correct, users have the same account using the other method. It works with Office365 because the migration keeps the same accounts, with local and remote AD.
 
Ah well, I guess if this stuff was easy then I wouldn't have a job... :)
