I have an advisor who delegates and shares her calendar with three fellow employees. They have asked two questions:

1. How to keep the advisor's appointment reminders from popping up on their own (employees) calendars? We know reminders can be turned entirely off but do not want that, just selective reminders

2. With employees having highest level of delegation granted and such, how employees can make appointments directly on the advisor's calendar without the advisor having to 'approve' them?

1. Should never happen. How did the employees open the calendar?

2. They should just be able to open the advisors calendar, double click on a time period and create an appointment. If the appointments need to be approved, they are not doing something "right" or have the wrong permissions.

The advisor did calendar sharing with the three employees. They opened her calender through the e-mail they received as a result of the sharing process. When a reminder pops up on the advisor's calendar, it also pops up on the other employees' calendars.

As for making appointments on her calendar, they do double-click and make an appointment, but it shows'tentative' until the advisor goes in and approves them. As for calendar permissions , the three were added, then given the following:

READ: free/busy time, subject, location

Delete Items: All

WRITE: create items, edit all

Perhaps they should all have 'editor' permission in the calendar permissions tab? They all three have 'Editor' level in the 'Delegate Permissions' area.

If they have editor in Delegates, they should have editor in the calendar too. But, if they just need access to the calendar and aren't really "delegates", giving permission to the folders directly is better.

Can they set the appointment as busy when they create it?

I'll check it out here and see if i can repro - I don't normally use deletes, i just give permission to the folders directly since the people I share with aren't my delegates.
